Purpose and Scope of Position

Enable on-time production of Customer Orders by coordinating information exchange between Internal Contacts and Partner Manufacturers.

 

Key Responsibilities:

Source Orders – Assign the production location of new orders (internal or outsource) based on provided guidelines in a timely manner to allow for efficient processing of orders.

 Quotes - Obtain product specifications, availability, lead time, cost and quantity information from Partner Manufacturers. Provide specifications, availability, lead time, quantity and price information to Internal Contacts.

 Communication - Serve as a go-between for our Partner Manufacturers and Internal Contacts; be available to answer e-mails from Partner Manufacturers and Internal Contacts regarding orders. Provide detailed answers to Partner Manufacturers and Internal Contacts to ensure that orders can be processed and produced in full and on-time. 

 Rush Orders – Coordinate with Internal Contacts and Partner Manufacturers on rush production and delivery requests to ensure timeliness in all aspects of order processing in order to meet delivery requirements.

 Purchase Orders – Enter Purchase Orders for outsource products based on Customer Orders. Submit purchase orders to Partner Manufacturers with relevant information, documents and artwork. Obtain delivery dates and follow up with suppliers to ensure quality requirements and delivery schedule are met; obtain and enter tracking numbers for orders and perform system receiving and shipping operations.

 Revisions – Coordinate with Internal Contacts and Partner Manufacturers on revised orders in a timely manner; revisions often affect production timing.

 Continuous Improvement – Help identify and implement ideas for improvement of costs, quality and processes.

 Additional duties as assigned, including cross-training with other purchasing staff to back-up as needed.

 

REQUIREMENTS:

  • 1 year of experience in Customer Service or Order Entry
  • English 90%
  • High school diploma
  • Accuracy in data entry while maintaining a fast pace
  • Detail oriented & well organized
  • Ability to multi-task
  • Solution oriented - think beyond general guidelines to ensure all possibilities are investigated
