Position Overview:

Detail-oriented and organized dual role of Administrative Assistant and MRO Buyer. This position is responsible for providing administrative support to various departments while also managing the procurement process for maintenance, repair, and operations supplies.

Administrative Assistant Duties:

  1. Manage office supplies inventory and place orders as needed.
  2. Answer and direct phone calls in a professional manner.
  3. Organize and schedule appointments, meetings, and events.
  4. Assist in the preparation of reports, presentations, and correspondence.
  5. Maintain electronic and hard copy filing systems.
  6. Handle sensitive information in a confidential manner.
  7. Support CN and TWN Expatriates; travel, housing (expense control), local orientation…

MRO Buyer Duties:

  1. Source, evaluate, and negotiate with suppliers to obtain competitive prices for MRO supplies.
  2. Maintain relationships with existing suppliers and identify new vendors as needed.
  3. Review purchase requisitions and create purchase orders accurately and promptly.
  4. Monitor inventory levels and ensure timely replenishment of MRO items. Expedite critical material shortages as necessary (driver’s license required).
  5. Coordinate with maintenance and operations teams to understand their needs and requirements.
  6. Collaborate with finance and accounting departments to ensure proper documentation and payment processing.
  7. Ensure compliance with company procurement policies and procedures.

Requirements:

  • Proven experience in administrative support roles.
  • Bachelor's degree in Business Administration, Supply Chain Management, or a related field (preferred but not required).
  • Fluency in both Spanish and English with excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with procurement processes and MRO supplies is preferred.
  • Strong organizational and multitasking skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.
