Role Overview
The AI Program Analyst will support execution and operational effectiveness for PDTE AI Knowledge Management initiatives in the Engineering Operations Team. This role partners closely with AI engineering leadership, technical teams, and stakeholders to ensure timelines, communications, documentation, and meeting records are well managed and consistently maintained.
The Program Analyst role is hands on and detail oriented, focused on tracking progress, organizing information, supporting communication, and enabling smooth execution across a global AI team. The ideal candidate has a technical interest in AI, strong analytical and organizational skills, and strong communication and presentation capabilities, including the ability to develop clear, compelling slide decks for large and diverse audiences.
This role will also play a key part in translating AI initiatives into well structured presentations and narratives for audiences ranging from working engineers to senior executives, supporting visibility and alignment for enterprise AI efforts.
Key Responsibilities
Program Tracking & Analysis
- Support the development and maintenance of program plans, schedules, and timelines for enterprise AI knowledge management initiatives.
- Track milestones, dependencies, and deliverables; identify gaps, risks, and follow ups for program leadership.
- Prepare program status summaries, dashboards, and execution reports for regular stakeholder updates.
AI Knowledge Management Team Support
- Assist the AI Knowledge Management team with organizing and maintaining program documentation.
- Ensure knowledge management materials are consistently captured, updated, and accessible.
- Support alignment between technical execution activities and documented timelines.
Enterprise Communication, Presentations & SharePoint Maintenance
- Maintain and update the AI SharePoint site, ensuring information is accurate, organized, and current.
- Post and curate content including timelines, status updates, meeting notes, demo recordings, reference materials, and presentations.
- Develop, edit, and maintain PowerPoint slide decks on behalf of AI initiatives, tailored for different audiences including engineers, cross‑functional partners, and executive leadership.
- Apply strong visual judgment and storytelling skills to communicate complex AI topics clearly and effectively to large internal audiences, including non‑technical stakeholders.
- Support clear, consistent enterprise communication of AI initiatives across the organization.
AI Demos & Organizational Engagement
- Support planning and logistics for regular AI demos across the organization.
- Coordinate schedules, materials, recordings, and follow up documentation for demos.
- Maintain a centralized repository of demo content and presentation materials to support ongoing awareness and adoption.
Meetings, Documentation & Follow Through
- Organize and support regular AI status and working meetings, including agenda preparation, logistics, and presentation materials.
- Capture and maintain meeting minutes, recordings, and action items for all AI knowledge management meetings.
- Track action items across teams and follow up to ensure timely closure.
- Collect, review, and consolidate weekly status reports from AI technical leads, ensuring accuracy, consistency, and timely delivery of executive‑ready summaries and materials for leadership consumption.
Cross Functional & Global Collaboration
- Work closely with engineering, IT, product, and operations partners to support execution across enterprise AI initiatives.
- Coordinate effectively across multiple time zones, adjusting working hours as needed to support global collaboration.
- Act as a reliable point of contact for program documentation, schedules, communications, and presentation materials.
Required Qualifications
- Experience in program analysis, project coordination, operations, or technical program support, preferably in a software, data, or AI related environment.
- Strong interest in AI and technology, with the ability to understand and follow technical discussions.
- Excellent organizational skills with strong attention to detail and follow through.
- Strong written, verbal, and visual communication skills, including demonstrated expertise creating professional PowerPoint presentations and executive‑ready slide decks.
- Ability to communicate effectively to both technical and non‑technical audiences, including large group and leadership‑level forums.
- Experience working with collaboration and documentation tools (e.g., SharePoint, dashboards, meeting artifacts).
- Ability to work effectively across teams and geographies.
Preferred Qualifications
- Background in software development, engineering, or technical operations (hands on experience a plus, not required).
- Experience supporting enterprise platforms, AI initiatives, or knowledge management programs.
- Experience preparing presentations or communications for senior leadership, executive reviews, or large internal audiences.
- Comfort working in fast changing technical environments with evolving priorities.
